Hosting Events at The Rec

• All reservations must be made based on the guidelines specific to that specific Rental Contract. 
• A Rental Contract and Liability Waiver must be signed, and deposit paid at time of reservation.
• All reservations must be made in person and are based on a first come, first serve basis. No reservations will be taken over the telephone, email, mail, or fax.

Required Information:

Members and guests must bring the following to the Rec:

• Valid Driver's license or Texas ID.
• Current utility bill (water, gas, electric, or landline) - Must be a hard copy if your driver’s license does not reflect your current address.
• Minimum amount of the payment that is due based on the specific reservations and options. We accept cash, check, debit, or credit card.
• Total amount due must be paid in full prior to rental reservation completion.

Rental Procedures:  

Set-up: 

• On-site Manager on Duty (hereby MOD) and assigned staff are required to set-up for the rental no later than 30-minutes prior to the reserved time slot. This includes ensuring the appropriate tables, chairs, trash can(s), pool equipment (if applicable), sports equipment (if applicable), etc. are all set up accordingly based on their approved reservation. 

During:

• MOD must make periodic check-ins with the “Renter” and their guests to ensure everything is going smoothly and efficiently. 

Take-down and Cleaning Inspection:

• MOD and assigned staff are to ensure that the “Renter” and their guests vacate the reserved areas by the end of their allotted time slot.
• MOD and assigned staff are to take-down and store all tables, chairs, trash can(s), pool equipment (if applicable), sports equipment (if applicable), etc. at the conclusion of the rental. 
• MOD will complete a thorough inspection to ensure all reserved areas and equipment are clean and there is no visible damage.  

Refund:

• The rental deposit will be refunded within 5 business days (only) if the MOD’s inspection signs off that all reserved areas and equipment were clean and there was no visible damage. 
• The rental deposit will be withheld if the MOD’s inspection fails in any aspect, and then determined if any additional charges are applicable. 
• The Renter will be responsible for additional charges if the damages or time to clean exceeds the deposit amount. This amount will be determined and finalized by the MOD and the Executive Director.
